Position Objective
The Digital Print/Mail Operator I is responsible for operating mass market printers, peripheral devices and inserting and presorting equipment. Executes the production of a variety of output media for internal and external customers. Processes various pieces of mail for distribution to the post office. Responsible for minor equipment set up and maintenance to ensure effectiveness of operations.
Primary Accountabilities
- Digital Printing (30%)
- Under limited direction of Digital Mail/Operator II, prioritizes and schedules mass-market print jobs.
- Performs routine troubleshooting on equipment. Uses defined procedures to resolve issues. Contacts service provider or vendor as needed. Keeps manager and department employees informed of any equipment and program problems and corrective actions taken to resolve them. Escalates application print problems to I/S Primary "on-call" utilizing I/S "on-call" database.
- Performs applicable daily and weekly maintenance on equipment. Manually or mechanically makes necessary adjustments to correspond with daily work.
- Performs weekly back up maintenance and re-initialization of print management servers.
- Coordinates movement of output throughout NHQ and other regional offices in a timely, based on priorities.
- As needed, performs data replication services for the I/S Applications division, utilizing print management software technology.
- Performs post processing functions to include trimming and bursting of selective print output, on a daily basis, utilizing post processing devices.
- Automated mail (30%)
- Prepares machine; cleans, sets up and tests ink jet, replenishes ink supply, fills water reservoir, checks for correct date, selects correct postage, checks and adjusts detection, obtains needed supplies (e.g., trays, tray sleeves, APC carts, envelopes, inserts), and monitors the computerized mail processing equipment.
- Develops knowledge of postal regulations, rates, rules, procedure changes, new/updated equipment, and updated software. Operates parcel postage and shipping computer system for processing overnight mail.
- Processes notices, special mailings, letters, policies, etc., with correct inserts and envelopes on insert machine. Ensures correct postage and date is applied on envelopes. Matches envelope counts to computer generated count sheet to verify daily production totals.
- Operates Presort machine, prepares mail for delivery to the Post Office using correct paperwork and procedures.
- Uses the PC and AUI (Automated User Interface System) to access preprogrammed job files on the inserters and presort machines. Selects and loads the jobs for processing. Manually or mechanically makes adjustments to correspond with daily work, accounting for changes to preprogrammed jobs as needed (to adjust for paperweight variation, bin counts, zip code bin assignment, sort scheme, read parameters etc.).
- Performs daily routine maintenance on equipment to ensure effective operation.
- Performs routine troubleshooting on equipment. Uses defined procedures to resolve issues. Contacts service provider or vendor as needed. Keeps manager and department employees informed of any equipment and program problems and corrective actions taken to resolve them.
- Manual Mail (20%)
- Receives and sorts incoming mail from the post office according to region, department, and individual employee. Consolidates mail and sends to appropriate mail stops and buildings via ETV cars and Traffic delivery. Handles registered, certified mail/proof of mail by determining correct postage, processing manifests to ensure all pieces are accounted for, applying correct postage, filing returned manifests, and proof of mailing cards.
- Interfaces with Electric Track Vehicle (ETV) cars throughout the day, sorting interoffice departmental mail, company mail with delivery slips, and mails to the post office. Outgoing mail and computer generated reports addressed to state directors, agents, district managers, and branch offices are sorted, consolidated, and pitched into the proper slot/box to be mailed daily.
- Reroutes correspondence and returned mail by forwarding to the original source and/or agent. Returns "undeliverable" mail to originating department to clarify agent codes or mailing addresses. Handles distribution of various special mailings through the use of e-forms.
- Works within set pickup/delivery schedules for numerous courier services providing mail and parcel pickups.
- Quality Control (10%)
- Assumes responsibility for Quality Control by monitoring work, systems, and processes, ensuring that the company products meet company quality and accuracy standards and legal requirements. Operates machines with emphasis on producing a quality and accurate. Develops a working knowledge of output to determine when errors have occurred.
- Monitors accuracy and quality of others' work and takes action to correct mistakes.
- Balances attention to detail within overall timelines for completion.
- Record Keeping/Inventory Ordering Supplies (10%)
- Follows inventory procedures to ensure stock on hand, works with vendors, interfaces with purchasing and warehousing to ensure adequate stock on hand.
- Maintains and controls inventory, and stock, and receives new deliveries for supplies.
- Orders supplies from warehouse to replenish climatized storage room stock.
- Puts supplies away in appropriate storage area for each machine. Records daily presort machine production counts for monthly report.
